Clerk Finance is operated by Lang IT Services Inc., registered in Alberta, Canada. This policy covers all our services: Clerk (invoicing), Store (digital products), Darwin (AI tools), and Landlord (property management), all hosted under clerkfinance.com.

2. What we collect

When you use our services, we may collect:

  • Account info — name, email address, and password (encrypted)
  • Business info — business name, address, and tax details you enter in settings (Clerk)
  • Client data — names, emails, and billing addresses of your clients (Clerk)
  • Invoice data — invoices, line items, payments, and related financial records (Clerk)
  • Purchase data — products purchased, order history, download activity (Store)
  • Chat messages — conversations with AI assistants (Darwin)
  • Property data — property details, lease terms, tenant info, and rental financials you enter (Landlord)
  • Usage data — page views, feature usage, and error logs for debugging
  • Payment info — processed by Stripe; we store only order references, never full card numbers

3. How we use your data

  • To provide and improve our services
  • To process payments and deliver digital products
  • To send transactional emails (receipts, download links, account notifications)
  • To debug errors and maintain service reliability
  • To improve AI assistant responses

We do not sell your personal data to third parties. Ever.

4. Third-party services

We use the following third-party services:

  • Stripe — payment processing (their privacy policy)
  • Amazon Web Services (AWS) — hosting and email delivery (SES)
  • OpenAI / AI providers — language model processing for AI features

We share only the minimum data necessary with each provider.

5. Cookies

We use essential cookies only:

  • Session cookie (clerk_session) — keeps you logged in across our services

We do not use tracking cookies, advertising cookies, or third-party analytics. No cookie banner needed — we only use what's strictly necessary.

6. Data storage and security

  • Data is stored on AWS infrastructure in the US West (Oregon) region
  • All connections are encrypted with TLS (HTTPS)
  • Passwords are hashed with bcrypt
  • Database access is restricted to application services only
  • We perform regular backups

7. Your rights

You can:

  • Access your data — download your invoices, view your purchase history
  • Correct your data — update your profile and business information
  • Delete your account — email us and we'll remove your account and personal data within 30 days
  • Export your data — request a full export of your data by emailing us

8. Data retention

  • Account data is kept while your account is active
  • After account deletion, personal data is removed within 30 days
  • Purchase records may be retained for tax and legal compliance (up to 7 years)
  • Error logs are retained for up to 90 days

9. Children

Our services are not intended for anyone under 18. We don't knowingly collect data from minors.

10. Changes to this policy

We may update this policy from time to time. We'll notify registered users by email for material changes. The "last updated" date at the top reflects the most recent revision.
